AirSupportTeam LLC ("AirSupportTeam", "we", "us", "our") operates the website airsupportteam.com. We publish independent educational content about air travel. 2. Scope
This policy applies to personal data we process through this website, our newsletter, our support channels and our recruitment inbox. It does not apply to third-party websites you reach through links published in our guides; those services operate under their own privacy policies.
3. Personal data we collect
3.1 Data you provide to us
- Contact form submissions: your name, email address, the problem category you select and the content of your message, including any travel details you choose to include.
- Newsletter subscription: your email address, the date and time of consent, and the page from which you subscribed.
- Support correspondence: the content of emails and, where you call us, a written summary of the enquiry. We do not record telephone calls.
- Recruitment: the CV, cover note and work samples you send when applying for a role.
3.2 Data collected automatically
- Technical data: IP address (truncated where technically possible), browser type and version, operating system, device category, referring page and the pages you view.
- Security logs: request timestamps and error records retained for the protection of the service.
We do not operate advertising networks, we do not build behavioural profiles, and we do not sell personal data. We do not knowingly collect payment card data because we do not process payments on this website.
3.3 Special category data
We do not ask for health, biometric, religious or other special category data. Please do not include passport scans, medical certificates or payment card numbers in messages to us. If you send such information anyway, we will delete it once your enquiry is resolved.
4. Why we process your data and our legal basis
- To answer your enquiry — legal basis: performance of steps taken at your request and our legitimate interest in responding to readers.
- To send the newsletter — legal basis: your consent, which you may withdraw at any time.
- To operate and secure the website — legal basis: our legitimate interest in maintaining a reliable and secure service.
- To measure aggregate readership — legal basis: your consent where analytics cookies are used, otherwise our legitimate interest in privacy-preserving aggregate statistics.
- To consider job applications — legal basis: steps taken prior to entering an employment contract.
- To comply with law — legal basis: compliance with a legal obligation.
5. Cookies and similar technologies

6. How long we keep data
- Contact and support correspondence: up to 24 months from the last message.
- Newsletter subscriber records: until you unsubscribe, plus 30 days.
- Consent and suppression records: up to 6 years, to evidence compliance.
- Server and security logs: up to 12 months.
- Unsuccessful job applications: 12 months, unless you ask us to delete sooner.
When a retention period ends, data is deleted or irreversibly anonymised. Backups are overwritten on a rolling cycle not exceeding 90 days.
7. Who we share data with
We share personal data only with service providers who process it on our instructions under a written data processing agreement. These categories are:
- Website hosting and content delivery providers.
- Email delivery and newsletter distribution providers.
- Customer support and ticketing software providers.
- Privacy-focused analytics providers, where analytics consent is given.
We may also disclose data where required by law, court order or a regulator with jurisdiction, or where necessary to establish, exercise or defend legal claims. We do not sell personal data and we do not share it for cross-context behavioural advertising.
8. International transfers
We are established in the United States and some of our service providers are located there. Where personal data is transferred from the EEA, the United Kingdom or Switzerland, we rely on the European Commission's Standard Contractual Clauses, supplemented by the UK International Data Transfer Addendum where applicable, together with a transfer risk assessment and appropriate technical measures such as encryption in transit and at rest.
9. Your rights
Depending on where you live, you may have the right to:
- access the personal data we hold about you and receive a copy;
- have inaccurate data corrected;
- have data erased where there is no continuing lawful basis to keep it;
- restrict or object to processing based on legitimate interests;
- receive certain data in a portable, machine-readable format;
- withdraw consent at any time, without affecting prior lawful processing;
- opt out of the sale or sharing of personal data — we do not engage in either, so there is nothing to opt out of;
- be free from discrimination for exercising any privacy right.
To exercise a right, email privacy@airsupportteam.com. We respond within 30 days, or 45 days where a request is complex, and will tell you if we need more time. We may ask for information sufficient to verify your identity, used solely for that purpose. An authorised agent may submit a request on your behalf with written permission.
10. Complaints
If you believe we have handled your data improperly, please contact us first — most issues are resolved quickly. You also have the right to complain to a supervisory authority: in the EEA, the authority in your country of residence; in the UK, the Information Commissioner's Office; in the United States, your state Attorney General.
11. Security
We apply technical and organisational measures appropriate to the risk, including HTTPS encryption in transit, encryption at rest for stored correspondence, role-based access control, least-privilege administrative access, multi-factor authentication for staff accounts, vendor due diligence and periodic review of access rights. No system is perfectly secure, and we do not guarantee absolute security of information transmitted to us.
12. Children
This website is intended for adults. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, contact us and we will delete it promptly.
13. Automated decision-making
We do not carry out automated decision-making or profiling that produces legal effects or similarly significant effects concerning you.
14. Changes to this policy
We may update this policy to reflect changes in our practices or the law. The revision date at the top of the page always shows the current version. Material changes affecting your rights will be announced on the site and, where you are subscribed, by email at least 14 days before they take effect.
